#GIGD occurs every third Thursday of February in order to raise awareness on the importance of information governance.

A quick reminder about Information Governance (IG)

Information governance can be defined as a process allowing the management of organisation’s information resources, in particular through the implementation of policies, procedures and technologies.

Information Governance is considered as the integration of the different technologies, organisational practices and human activities, in order to optimise the use and value of the information (= information capital), and to manage its sharing by minimising the costs and the risks incurred.

Information governance leads, following a preliminary analysis, to the classification of information according to its nature and value. This classification allows the identification of probative / evidentiary information (e.g. commercial contracts, policies and procedures, etc.).

Implementation of an information governance for the Municipality of Frisange

Presentation of the project

The Municipality of Frisange wanted to reorganise all the documents and archives produced and received as part of its activities. It also wanted to manage its historical archives so that they could be studied by historians.

It is important to remind that archives are essential to the proper functioning of municipal services and can have a historical interest. They are the memory of a community and as such can be a source of interest to historical researchers – genealogists, historians, students or academics.

Thus, following an initial audit, Labgroup provided an archivist for a period of 60 days with the aim of preserving the rich archival and documentary heritage of the Municipality on a long-term basis. In order to do this, the implementation of an archiving policy was essential and had the following objectives:

  • Set up a centralised conservation of the municipal archives;
  • Coordinate the sorting of archives;
  • Standardise the classification and description of archives;
  • Create a single repository for inventorying and retrieving archives.

For the future

For practical reasons and in view of the specific skills required for such a project, it was decided that an annual archiving would be most effective. The municipality of Frisange has chosen to work in partnership with Labgroup in order to maintain professionalism and quality for the future of the project.

Each year, Labgroup will assign one of its archivists to archive the annual productions of the employees of the municipality of Frisange. This is a ten-day mission every year of which the scope has been defined by the information governance policy of the municipality of Frisange.
